Creating DigiScope Content Indexes

NOTE: Indexing is only supported within the 64 bit version of DigiScope

Before Creating an Index consider the following;

 

  1. Before the indexing process can begin the Exchange Data Source must be Mounted or Connected. Click on one of the links below to learn more:

 

  1. ONLY one (1) database can have its contents being indexed at a time.

 

  1. To limit the content included within the index: apply Mailbox, Folder or Item level filters prior to creating/rebuilding an index.

 

  1. Indexes can ONLY be created at the database level. i.e.

NOTE: If desired, databases may be indexed multiple times with various filtering applied. Therefore to make future searches easier: it’s a good idea to name the searches in a meaningful way to the operator.

    1. Open the "Advanced Search" dialog by right clicking on an individual database and selecting FIND as shown below:

 

                

      1. Allows the "Indexing" tab appears within the "Advanced Search" dialog as outlined below in green.

 

                

    1. However, opening the "Advanced Search" dialog by right clicking on any other object: i.e. Server, Group, Mailbox, or Folder: the Indexing tab will not be available.

 

      1. For example within the image below you can see;

 

                

      1. Since the right click was started at "Lucid8 Exchange 2019 Group" the "Indexing" tab does not appear.

 

 

Enabling and Creating Indexes

 

  1. Right click on the database object and select ‘Find’ as shown in the image below.

    

 

  1. The Advanced Search Dialog appears and the Indexing tab (green outlined in the image below) will appear.

   

 

  1. Select the Indexing tab as shown below.

    

 

  1. Enable the "Create/Rebuild Index" option outlined in green above.

    

  

  1. If this is the first use of Elastic Search (ES) the Installation Wizard appears as shown below.  

    

 

  1. Review the dialog and click ‘Next’ to continue the Elasticsearch setup wizard.

 

     

 

  1. Once the path is selected: click ‘OK’ and the Elasticsearch installation will begin.

    

 

  1. Upon installation completion, the ES success dialog appears. Click ‘Finish’ to close the dialog.

 

    

  1. The ‘Advanced Search’ dialog appears with the suggested index name (see example below).

 

NOTE: Best practice is to create the index before configuring the search criteria since doing both could have a negative impact on resources.

NOTE: If it’s desired to limit the data being indexed, be sure to apply  Mailbox, Folder and Item level filters BEFORE launching the "Advanced Search" dialog.

     

    

  1. Click the "Index" button to begin the indexing process and note that the "Indexing" tab remains yellow during the indexing process as shown below.

 

    

 

  1. Upon completion, the "Indexing" tab will turn green as shown below.

    

 

  1. The index is now enabled to accept search criteria. Note that the "Number of Items" (854) available within this index as shown below.

NOTE: The "Number of Items" within an index will vary depending upon the index date for (Production Databases and O36 Tenants) as well as mailbox, folder, and item level filters applied prior to indexing.

    

 

You can now click on the available tabs to set the search criteria.

NOTE: Since the indexes are created using Elasticsearch (ES); as a convenience for those with experience: we have provided the ability to create raw ES queries. However requests to assist with "Raw ES Queries" is outside of our standard support and therefore requires the purchase of Advanced Query Development via Lucid8 Professional services.
